AI Google Review Reply Templates for Local Businesses

Local business owner checking an AI-drafted Google review reply before sending it

"Thank you for your valuable feedback! We look forward to serving you again!" Scroll through any busy listing and you'll see that line fifty times. Customers notice. It reads as nobody actually read the review.

AI can help you reply faster, but only if you give it the right brief and change at least one detail before posting. Below are three templates, each shown on a real-looking review, so you can see what a good reply looks like in place.

The 5-star review

Thank them, mention one specific thing they said, and stop. Two or three lines is plenty.

Got my hair coloured by Neha for my sister's wedding. Exactly the shade I showed her, and she finished on time even though we were late!
Reply from the ownerThank you, Priya! Neha was thrilled to hear the colour turned out just right. Hope the wedding was wonderful. See you next time.
Template: "Thank you, [Name]! We're so glad [specific detail from their review]. [Short personal touch.] See you next time."

The mixed review

These are the most useful reviews you'll get. Thank them for both halves and say what you're doing about the weak part.

Paneer tikka was excellent. But we waited 25 minutes just for the bill, which spoiled things a bit.
Reply from the ownerThanks for being honest, Arjun. Glad the paneer tikka hit the spot. You're right about the bill, that's too long. We've added a second billing counter for weekend evenings.
Template: "Thanks for the honest feedback, [Name]. Glad [positive detail] worked for you. You're right about [issue], and we've [what you changed]."

The 1-star review

Short, calm, and move it offline. Never argue in public. Our negative review guide goes deeper.

Ordered a cake for my son's birthday, it arrived with the wrong name on it. Very disappointed.
Reply from the ownerVikram, I'm really sorry. Getting the name wrong on a birthday cake is a big miss and it shouldn't have happened. Please call us on the shop number. I'd like to make this right personally.
Template: "[Name], I'm sorry. [Name the problem plainly]. That's not okay. Please contact us on [official channel] so I can make it right."

A prompt that gets a usable first draft

Most bad AI replies come from a vague prompt. Tell it what you want, and what you don't.

Write a warm Google review reply in under 60 words for a [bakery]. The customer said: "[paste review]". Mention [the specific detail]. Don't invent facts, don't mention prices or refunds, and don't use the phrase "valuable feedback".

Never paste phone numbers, order IDs, health details or private messages into the prompt.

Inside ReviewPro

Connect your Google Business Profile to ReviewPro and every review shows up in one list. Open one and you get a few suggested replies written from what that customer actually said, so you skip the prompt-writing.

Pick the closest, add your own detail, post. A person always approves the final reply.

Before you hit post

Specific? It mentions something real from the review.
True?No promise or claim you haven't checked.
Private? No phone numbers, bills, health or booking details.
Sounds like you?Read it aloud. Would you say it at the counter?

Google recommends replying to reviews as a way to show customers you value what they say. For the full workflow, read our AI review response drafting guide.
